Refund & Cancellation Policy
This version of the Global Business Week Refund & Cancellation Policy has been approved by WORLD EDUCATION, SCIENCE AND INNOVATION ORGANISATION LIMITED (“WESIO”) by internal resolution dated September 01, 2025.
This Policy is published on the official Global Business Week website at  https://gbw.forum-expo.org/REGISTRATION/  and constitutes the official current version from the date of its publication, unless WESIO expressly states another effective date.

1. Purpose and status of this Policy
1.1. This Refund & Cancellation Policy (the “Policy”) sets out the procedure for submitting and reviewing requests for cancellation, transfer, substitution, credit and refund of payments relating to Global Business Week (“GBW”).

1.2. This Policy applies to Clients, Participants and any other persons whose GBW participation, access, service, package, commercial opportunity or other benefit has been requested, confirmed, reserved, provided or paid for.

1.3. This Policy forms part of the applicable GBW documents and applies together with the Public Offer Agreement for Participation in Global Business Week, the Code of Conduct, applicable category-specific documents, WESIO’s official confirmation and mandatory law.

2. Official channel and request procedure
2.1. Any request for cancellation, transfer, substitution, credit, change of participation or refund must be submitted in writing through WESIO’s official channel: info@wesio.org

2.2. Requests sent through personal contacts, social media, employees, partners, contractors, venues or third parties are not considered properly submitted unless WESIO expressly confirms that channel as official for the relevant request.

2.3. The request must include the Client’s name, the Participant’s name where applicable, the invoice number or other payment confirmation, the payment date and amount, the participation category or package, the specific request, the reasons for the request, supporting documents and the original payer’s details if a refund is requested.

2.4. The Client is responsible for the completeness, accuracy, authority and documentary support of the request. WESIO may refuse to review, suspend review of, or disregard any request that is incomplete, unsupported, inconsistent, misleading, submitted by an unauthorised person, or does not allow WESIO to identify the payment, Client, Participant or paid package.

2.5. Submission of a request does not suspend payment obligations, preserve any price, discount, place, access, slot, meeting, benefit or commercial opportunity, or guarantee any refund, transfer, substitution, credit or change of participation.

3. Review timelines
3.1. WESIO normally provides an initial response within 10 business days after receiving a complete request and supporting documents.

3.2. If additional information or documents are required, the review period starts from the date on which WESIO receives all requested information and confirmations.

3.3. Requests involving commercial participation, third parties, venues, suppliers, banking operations, sanctions, tax, accounting or other internal checks may take longer to review.

3.4. If a refund is approved, WESIO normally processes it within 30 business days after written approval and receipt of all information required to make the payment. The actual time for funds to be credited depends on banks, payment providers and other third parties outside WESIO’s control.

4. Possible outcomes and grounds for approval
4.1. Following review of a request, WESIO may reject the request, approve a transfer of participation, approve a substitution of the Participant, provide credit for a future GBW format, provide alternative access, service or benefit, approve a partial refund or approve a full refund.

4.2. WESIO may, but is not obliged to, approve a request in full or in part if WESIO has not confirmed the paid participation, has received an incorrect or duplicate payment, is unable to provide the specific confirmed access, service or benefit paid for by the Client, or considers that an alternative resolution is appropriate in the circumstances.

4.3. WESIO determines the appropriate resolution at its discretion, taking into account the applicable GBW documents, the participation category, the date of the request, work already performed, resources reserved, costs incurred, third-party commitments, venue requirements, programme integrity, safety, compliance and WESIO’s operational, commercial and reputational interests.

4.4. Approval of one request does not oblige WESIO to approve any similar request from the same or another Client, Participant or future applicant.

5. Cases where no refund is provided
5.1. No refund is provided if the Client or Participant does not attend GBW, arrives late, leaves early, fails to use access, or does not use any meeting, session, exhibition, media, VIP, business matching, youth, family or other GBW opportunity provided or made available to them.

5.2. No refund is provided if the Client or Participant is unable to participate due to personal, business, financial, organisational, medical, family, visa, travel, accommodation, insurance or other circumstances relating to the Client or Participant, including failure to provide required information, documents, consents, materials or confirmations.

5.3. A service, access or benefit is treated as used for refund purposes if WESIO has provided, prepared, reserved or made it available to the Client or Participant.

5.4. No refund is provided if participation, access, service or benefit has been refused, restricted, suspended, cancelled or terminated due to a breach of the Public Offer Agreement, this Policy, the Code of Conduct, venue rules, safety instructions, payment terms, compliance requirements or any other applicable GBW document.

6. Commercial, sponsorship and promotional participation
6.1. Fees for sponsorship, advertising, exhibition participation, media-promotion, business-promo, PR, customised promotional services, VIP access, business matching or similar commercial participation are non-refundable once WESIO confirms the relevant participation category, reserves any related benefit, allocates resources, or starts preparation, promotion, production, communication, scheduling or third-party arrangements for the Client.

6.2. Any transfer, substitution, credit or alternative benefit for commercial or promotional participation is provided only at WESIO’s discretion and does not create any right to a refund or any obligation to provide the same scope, format, timing, audience, visibility, number of meetings, media effect or commercial outcome.

7. Programme changes and circumstances beyond WESIO’s control
7.1. GBW is an international event. WESIO may change the programme, timetable, venue, speakers, moderators, partners, access arrangements, technical format, capacity, safety requirements or other event details where this is necessary or appropriate for the proper organisation of GBW. Such changes do not, by themselves, create any right to a refund.

7.2. WESIO is not responsible for any delay, change, relocation, restriction, disruption or failure to provide a service caused by circumstances beyond WESIO’s reasonable control, including venue or public authority decisions, health and safety requirements, transport or technical disruption, visa or border restrictions, sanctions, cyber incidents, labour disputes, civil unrest, war, emergencies or force majeure.

7.3. WESIO does not reimburse travel, accommodation, visa, insurance, personal, business or third-party costs unless WESIO has expressly agreed in writing to provide and pay for the relevant item.

8. Refund calculation and payment
8.1. If WESIO approves a refund, the amount is calculated by reference to the net amount actually received and retained by WESIO for the relevant participation, service or package.

8.2. WESIO may deduct from any refund all non-refundable amounts, administrative expenses, bank and payment charges, taxes, withholding amounts, currency losses, venue, supplier, contractor, partner and third-party costs, costs of preparation, administration, communication, production, PR, media, staff and support, and any amounts already incurred, reserved, ordered, allocated or committed by WESIO in connection with the relevant participation, service or package.

8.3. A refund may be full, partial or zero if, after applicable deductions, there is no amount available for payment.

8.4. Refunds are made to the original payer using the same payment method by which the payment was received, if that method is available to WESIO. WESIO may approve another payment method or recipient only where sufficient documents are provided, the payment is technically possible and internal checks are successfully completed.

8.5. WESIO is not responsible for exchange-rate differences, intermediary bank charges, recipient bank charges, payment provider fees, currency conversion costs or delays caused by banks, payment providers or third parties.

9. Payment disputes
9.1. Before initiating a payment dispute, the Client must first contact WESIO through the official channel and allow WESIO an opportunity to review the matter.

9.2. A payment dispute does not constitute cancellation of participation, does not release the Client from its obligations to WESIO and does not limit WESIO’s rights under the Public Offer Agreement and the applicable GBW documents.

10. Updates, language and governing law
10.1. The current version of this Policy is published or made available by WESIO as part of the applicable GBW documents.

10.2. WESIO may update this Policy by publishing a new version on the official GBW website.

10.3. The English version of this Policy is the primary legal version. Any translation is provided for convenience only, unless WESIO expressly approves it as legally binding.

10.4. This Policy and any non-contractual obligations arising out of or in connection with it are governed by the laws of Scotland.

10.5. The courts of Scotland have jurisdiction over any dispute arising out of or in connection with this Policy, subject to any mandatory rules of law that cannot be excluded.
