This Policy is published on the official Global Business Week website at https://gbw.forum-expo.org/Personal_Data_Processing_Policy/ and constitutes the official current version from the date of its publication, unless WESIO expressly states another effective date.
This Personal Data Processing Policy (the “Policy”) applies to Global Business Week (“GBW”), organised by WESIO.
1.1. This Policy explains how WORLD EDUCATION, SCIENCE AND INNOVATION ORGANISATION LIMITED (“WESIO”) collects, uses, stores, discloses and protects personal data in connection with Global Business Week (“GBW”), the official GBW website and any actions, services, communications, payments, programmes or activities related to GBW.
1.2. This Policy is a public GBW document and forms part of the applicable GBW documents. It applies together with the Public Offer for Participation in Global Business Week, the Website Terms of Use, the Refund and Cancellation Policy, the Code of Conduct, media notices, terms applicable to specific categories of participation, registration forms, application forms and any other official documents, notices or instructions issued or made available by WESIO.
1.3. This Policy applies to Clients, Participants, applicants, speakers, sponsors, advertisers, exhibitors, media representatives, partners, contractors, suppliers, guests, parents, guardians, children, youth participants, website users and any other persons whose personal data is processed by WESIO or on behalf of WESIO in connection with GBW.
1.4. This Policy applies before, during and after GBW where the processing of personal data is connected with GBW, WESIO, the GBW website, registration, application, participation, payment, administration, communication, safety, legal compliance, media, reporting, business matching and meeting arrangements, family or youth programmes, sponsorship, exhibition, partnership or other GBW activities.
2.1. WESIO is the organiser of GBW and, where WESIO determines the purposes and means of processing personal data, acts as the controller of such personal data.
2.2. Requests concerning the processing of personal data, the exercise of data subject rights, data protection matters or complaints must be submitted through WESIO’s official contact channel: info@wesio.org.
2.3. Requests sent to personal contacts of WESIO employees or representatives, through social media, to partners, contractors, venues or other third parties are not deemed to have been properly submitted to WESIO unless WESIO expressly confirms the relevant channel as official for such request.
2.4. WESIO may request information reasonably necessary to verify the identity, authority and scope of the request before responding or taking action in relation to such request.
3.1. Depending on the relevant interaction, WESIO may process identification and contact details, organisation and job title information, professional biography, registration details and participation category, access and badge data, payment and billing data, application materials, information relating to speakers, sponsors, exhibitors, media representatives, investors, startups or partners, meeting preferences, communication records, technical and website data, photographs, videos, audio and event recordings, incident and safety information, and any other information reasonably necessary for GBW.
3.2. For family and youth programmes, WESIO may process information about parents, guardians, children and youth participants, including age category, selected programme, supervision details, emergency contact details and information reasonably necessary for safeguarding children and vulnerable participants, access, health and safety, and event administration.
3.3. WESIO does not seek to collect sensitive or special category personal data unless this is necessary for a specific lawful purpose, such as accessibility, health and safety, safeguarding children and vulnerable participants, emergency response, compliance with law or reasonable accommodation of needs, or where the relevant person voluntarily provides such information. In such cases, WESIO processes such data only where there is an applicable lawful basis and, where required, a separate condition for processing special category data in accordance with applicable data protection law.
3.4. Where a person provides personal data about another person, that person must have the authority and lawful basis to provide such data and must ensure that the relevant person has been informed of this Policy.
4.1. WESIO may obtain personal data directly from the relevant person, including through the GBW website, forms, applications, emails, messages, calls, meetings, payments, attendance at the event or other interaction with GBW.
4.2. WESIO may obtain personal data from organisations, Clients, employers, representatives, parents, guardians, accompanying persons, sponsors, partners, contractors, suppliers, payment providers, registration systems, venues, security services, technical platforms and other persons or services where this is necessary or reasonably connected with the organisation, administration, delivery, safety, promotion or documentation of GBW.
4.3. WESIO may also obtain personal data from publicly available professional sources where this is reasonably connected with reviewing applications, preparing the programme, verifying professional profiles, or communicating with speakers, media representatives, investors, startups, sponsors, partners or other persons connected with GBW.
4.4. Personal data may also be generated in the course of interaction with GBW, including data relating to registration, access, attendance, communications, meetings, media activities, safety, incidents, complaints, safeguarding of children and vulnerable participants, and other operational records necessary for the proper organisation of GBW.
5.1. WESIO processes personal data to the extent necessary or reasonably connected with the organisation, administration, delivery, safety, documentation, promotion and development of GBW.
5.2. WESIO may process personal data, in particular, for:
- reviewing applications, registration, confirming participation, determining the relevant participation category, arranging access, badges, invoices, payments and GBW communications;
- organising programmes, sessions, business matching, meetings, exhibitions, media, sponsorship, partnership, family and youth activities;
- communicating with Clients, Participants, applicants, speakers, sponsors, partners, media representatives, contractors, parents, guardians and other persons connected with GBW;
- ensuring safety, security, health protection, access control, safeguarding of children and vulnerable participants, and reviewing complaints, incidents and possible breaches of the applicable GBW documents;
- complying with contractual, legal, regulatory, accounting, tax, insurance, court, law enforcement and other mandatory requirements;
- preparing reports, archives, operational records, analytics, publications and materials connected with the delivery, assessment, promotion and development of GBW;
- sending service communications, updates, invitations, newsletters and information about future GBW events, where permitted by applicable law;
- protecting WESIO’s rights, lawful interests, reputation and commercial interests, as well as the proper organisation of GBW.
5.3. Depending on the specific processing purpose, WESIO may rely on one or more lawful bases, including performance of a contract, steps prior to entering into a contract, compliance with legal obligations, WESIO’s legitimate interests, consent, protection of vital interests in an emergency, or any other basis provided by applicable data protection law.
5.4. By joining the terms of participation in GBW, paying an invoice, submitting an application, completing a registration form, questionnaire or other form, providing personal data to WESIO, or continuing to interact with GBW, the relevant person confirms that they have read this Policy and understands that their personal data may be processed by WESIO in accordance with this Policy and applicable data protection law.
6. Children and youth participants
6.1. GBW may include children and youth participants. WESIO processes their personal data only where reasonably necessary for registration, participation, supervision, safeguarding, access, health and safety, emergency contact, legal compliance, communication with parents or guardians and proper administration of the relevant programme.
6.2. A parent, guardian or authorised adult who provides personal data of a child or youth participant confirms that they have authority to do so and that the information is accurate, necessary and lawfully provided.
6.3. WESIO may apply additional restrictions to access, communication, photography, filming, publication, sharing and retention of personal data relating to children or youth participants.
6.4. WESIO does not use children’s personal data for direct marketing to children unless expressly permitted by applicable law and supported by an appropriate lawful basis.
7.1. GBW may be photographed, filmed, recorded, streamed, reported, archived and promoted.
7.2. Subject to applicable law and applicable GBW documents, WESIO may use public participation moments, names, roles, company names, project descriptions, images, videos, speeches, presentations, interviews and event materials for GBW reporting, promotion, education, media, archival and documentary purposes.
7.3. Any specific restriction relating to photography, filming, publication, confidentiality, children, youth participants or sensitive information must be notified to WESIO in writing before the relevant participation. WESIO will consider such requests subject to legal, safeguarding, editorial, contractual and operational possibilities.
8.1. WESIO may disclose personal data to the extent necessary, permitted by law or reasonably connected with the organisation, administration, delivery, safety, promotion, documentation or protection of GBW.
8.2. Personal data may be disclosed, in particular, to the following categories of recipients:
- directors, employees, authorised representatives, contractors and service providers of WESIO;
- providers of registration, website, IT, cloud, CRM, communication, payment, accounting, administrative, badging, security and event management services;
- venues, security services, emergency services, insurers, banks, auditors, lawyers, accountants and other professional advisers;
- sponsors, partners, co-organisers, exhibitors, media partners, participants in business matching and meeting arrangements, and participants in the relevant meetings or activities, where the disclosure is connected with such activity;
- parents, guardians, schools, programme leaders, persons responsible for safeguarding children and vulnerable participants, or other persons where the disclosure is connected with family or youth programmes, safety, supervision, access or incident response;
- public authorities, regulators, courts, law enforcement authorities or other authorised persons where disclosure is required or permitted by law, a court order or an official request, or is necessary to protect the rights, safety or lawful interests of WESIO, GBW or other persons.
8.3. WESIO does not sell personal data.
8.4. Sponsors, partners, exhibitors, speakers, investors, media representatives, venues, payment providers and other third parties may act as independent controllers of personal data that they collect directly from the relevant person. In such case, their own privacy notices, personal data processing policies and legal obligations may apply.
9.1. GBW is an international event. Personal data may be accessed, processed or transferred outside the United Kingdom where necessary for GBW administration, participation, registration, communication, cloud hosting, IT services, payment processing, business matching, sponsorship, media, safety, security, family or youth programmes, international participation or legal compliance.
9.2. Where required by applicable data protection law, WESIO will use appropriate safeguards for international data transfers, including adequacy decisions, standard contractual clauses, an International Data Transfer Agreement, the UK Addendum to the standard contractual clauses, transfer risk assessments or any other lawful transfer mechanism.
10.1. The GBW website may collect technical and usage data, including IP address, device information, browser information, pages viewed, form interactions, analytics data, security logs and cookie-related information.
10.2. The GBW website may use cookies and similar technologies for website operation, security, analytics, performance, user experience and, where permitted by law, marketing.
10.3. Further information may be provided in a separate Cookie Policy or cookie notice.
11.1. WESIO uses reasonable technical and organisational measures designed to protect personal data against unauthorised access, loss, misuse, alteration, disclosure or destruction.
11.2. No website, system, transmission or storage method is completely secure. WESIO cannot guarantee absolute security but will take reasonable measures appropriate to the nature of the data and the risks involved.
11.3. WESIO keeps personal data only for as long as reasonably necessary for the purposes described in this Policy, including participation administration, accounting, tax, legal compliance, dispute handling, safety, safeguarding, fraud prevention, reporting, archiving, future communications and protection of WESIO’s rights and interests.
11.4. Where personal data is no longer required, WESIO will delete, anonymise or securely restrict it unless continued retention is required or permitted by law.
12.1. Subject to applicable law, a person may have the right to request access, rectification, erasure, restriction of processing, data portability, to object to processing, to object to direct marketing, to withdraw consent and to lodge a complaint with a data protection authority.
12.2. These rights are not absolute and may be subject to identity verification, legal limitations, contractual obligations, retention duties, safeguarding obligations, legal claims, public interest grounds or WESIO’s legitimate interests.
12.3. Requests must be submitted through WESIO’s official contact channel for personal data processing and data protection matters, as specified in this Policy.
13.1. The person providing personal data must ensure that the data is accurate, complete, current, authorised and lawful.
13.2. If required personal data is missing, inaccurate, incomplete, misleading, unauthorised or cannot reasonably be verified, WESIO may refuse, restrict, suspend or delay registration, participation, access, services, payments, communication or other GBW-related action.
13.3. WESIO is not responsible for consequences arising from inaccurate, incomplete, outdated, unauthorised or misleading information provided to WESIO.
14.1. The GBW website, communications and materials may contain links to third-party websites, platforms, applications or services.
14.2. WESIO is not responsible for the privacy practices, content, security or actions of third-party websites, platforms, applications or services. Their own terms and privacy notices may apply.
15.1. WESIO may update this Policy by publishing a new version on the official GBW website or otherwise making it available through an official WESIO channel.
15.2. Unless WESIO states otherwise, the updated version applies from the date of publication.
15.3. The English version of this Policy is the primary legal version. Any translation is provided for convenience only unless WESIO expressly approves it as legally binding.
15.4. Nothing in this Policy limits any mandatory data protection right, remedy or liability that cannot be limited under applicable law.
